Overview
GML CRM is an internal-use application of GML India. User accounts are created and managed by the system administrator, and users cannot register or delete accounts from within the App itself. This page explains how to request account deactivation and data deletion.
1. How to request deletion
To request deletion of your GML CRM account and the personal data associated with it, send an email to the system administrator with the subject line “Account Deletion Request — GML CRM”.

2. What to include in your request
- Your full name as registered in the App.
- Your employee ID.
- The company-provided mobile number used to receive the OTP for App sign-in.
- The reason for the request (for example, leaving the organisation).
3. What gets deleted
On verification, the following App-specific items will be deleted or anonymised:
- The link between your employee account and the company-provided mobile number used for OTP sign-in.
- OTP verification records held for security and audit (subject to the minimum retention required by law).
- Authentication tokens and active sessions.
- Device identifiers linked to your App account, if any.
Note: the App does not store passwords because sign-in is OTP-based. The company-provided mobile number itself continues to belong to GML India and is reassigned or retired through the company’s normal asset/SIM process, separately from this request.
4. What is retained
Some information is part of the company’s pre-existing records and will be retained even after your App account is deleted, in accordance with applicable laws and internal data-retention policy:
- Employee records — your name, employee ID, designation and similar details are part of GML India’s existing HR records and are not created by the App. Their retention is governed by HR and statutory requirements, not by the App.
- Customer information — customer mobile numbers and email addresses were voluntarily provided by customers to GML India for business purposes and are owned by the company. These will continue to be held in the company’s business records.
- Business transactions — customer accounts, quotations, projections, outstanding entries and similar records created or updated through your account, with your personal identifiers removed or replaced where appropriate.
- Audit logs required for security, accounting and compliance.
Retention periods follow GML India’s internal policy and any applicable legal or tax requirements.
5. Verification & timeline
- The system administrator will verify your identity, typically by replying to your registered email.
- Once verified, your account will be deactivated within 7 business days and personal data will be deleted or anonymised within 30 days.
- You will receive an email confirmation when the deletion is complete.
